For this exercise, you will be provided a collection through digital format. The collection will be under “content,” assignments.” You will need to create a processing policy for your institution, the Titusville, PA Historical Society.
Step 1 Your setting
You are a volunteer on the Collections Committee at the Titusville, PA Historical Society. You have been asked to produce a representation processing manual for Past Perfect to represent either objects or images (choose the collection you want). You will also create five sample entries in PP.
Step 2 Your collection
Choose either the objects or the image collection. Examine the processing info already available, such as name of collection, donation agreements, etc.
Step 3 Create processing manual
Examine Past Perfect documentation and guidelines. Think about the categories that you may want to use in representing this collection. Look particularly at controlled vocabulary. Also look at the standards used by PP for formatting names, titles, etc. in the descriptions. Use the discussion board to discuss your choices and to get help and feedback from others in the class. Try also looking at similar institutions, processing manuals, and collections for ideas.
Create a short processing manual which gives the following:
Introduction:
~ Description of fields to be used in the processing of your items.
~ Description of standards and controlled vocabulary to be used.
Processing instructions
~ Instructions for completion of fields (not how to use PP, but which fields to input, what information to establish in doing so, and standards/thesauri to use).
~ Be sure to note all required fields and any secondary or recommended fields, which often depend on whether or not there is information available. Don’t overlook information such as the collection that these items originate from.
Step 4 Create your PP representation
There will be five items in the collection. You will need to do a screen shot of each item and paste into a Word file. Also do a report that lists the fields and put into the same file.
